An International sporting event – a thoroughly communicated and tested process

The Event Drivers team ensure a Championships transportation plan is created, tested and approved by working closely with the Local Organising Committee.

Event Drivers is acutely aware that the first impression of any event is the one that lasts. It is of paramount importance that the moment Teams, Officials, Commercial Affiliates, VIP’s, and visitors step into the arrivals hall at their chosen airport they are greeted in an friendly, efficient , unobtrusive and unruffled manner. They will then be duly escorted and transported to their destination with a minimum of fuss in the shortest time possible.

Event Drivers Airport Liaison lead backed up with airport liaison volunteers and a team of drivers with the necessary skills to fulfil this task.

With the assistance and co operation of the local authorities, Event Drivers liaise with the airport authorities in gaining the necessary access for accredited personnel to arrange VIP meet and greets, and the proper dressing of the airport with Championship material , information and welcome desks.

Inevitable lost baggage issues would be addressed and the worry taken off the team member / official while they are swiftly transported to their hotel. Airport liaison staff will communicate with baggage reclaim to ensure the eventual delivery of lost baggage to the person at their hotel.

The Event Drivers transport manager will co-ordinate drawing up and implementation of the Championships transportation plan as per guidelines.

Vehicles are a combination of people carriers coaches and pool cars used on a flexible basis to meet the needs of the transportation plan. This incorporates the structured arrival / departures and transportation required throughout the Championships for training / competition schedules, functions, press conferences and bolt-on programmes linked to the event.

Event Drivers has the buying power to secure the best possible hire rates for cars to coaches. At the contracting stage we set exacting standards to guarantee the age, roadworthiness, appearance and condition of all vehicles with particular regard to meeting environmental standards and regulations.

Event Drivers also recognise that through sponsorship arrangements the vehicle category may be pre-determined and thus Incentevents would duly ensure the delivery of the transportation plan with certain vehicles readily supplied. The transport manager would as a matter of course liaise with the sponsorship consultants in assessing the specific vehicle needs.

Similarly Event Drivers would liaise with event organisers on the most convenient and economical way of managing fuel supply and spend.

All drivers and indeed liaison staff will have appropriate and legal mobile telephone communication capability.

The best drivers have local knowledge and all drivers will be familiar with the destination. No one will get lost and all drivers have a built in ‘contingency factor’ knowledge of alternative routes to best combat traffic congestion at certain times.

The assistance of the local authorities may be called upon to assist with the provision of appropriate Championships routes in the city where necessary.

Incorporating the latest flight information software enables Event Drivers to monitor flight arrivals and departures in ‘real time’ and thus combat flight delays, cancellation and indeed early arrivals and alert the airport liaison staff and drivers as necessary.
